Marketing & Operations Coordinator Details:
Part Time, Remote
Hours: 1–3 hours per weekday (Monday–Friday), worked between 8:00am–12:00pm ET (flexible within that window). Please note that occasional light weekend work may be required during select weekends.
Compensation: $17,000–$22,000/year, based on experience
Status: Part-time, year-round (seasonal workflow with busier and lighter periods)
Ideal Start Date: March 1st
Time Commitment: Due to the time commitment required, this role requires weekday morning availability and is not compatible with other roles that also require morning hours (including collegiate coaching positions).

About the Role
We’re looking for a highly organized, detail-obsessed, Marketing & Operations Coordinator to support our events, launches, and day-to-day operations. This role is ideal for someone who thrives on lists, organization, clean data, and hitting deadlines every time.
Roughly:
- ⅓ data, lists, and CRM organization
- ⅓ marketing graphics
- ⅓ general operations & admin support
This position functions much like a remote marketing administrator / virtual executive assistant — someone who can execute recurring workflows flawlessly while also jumping into last-minute, one-off tasks when needed.
Tasks and Responsibilities:
Data, Lists & CRM Management (≈⅓ of role)
- Organize, clean, and upload and maintain emails and marketing lists into HubSpot
- Conduct Data analysis
Marketing & Creative (≈⅓ of role)
- Design marketing graphics, reels, and GIFs using templates or original layouts
- Create and edit coach packets, posters, and marketing collateral
- Assist with social media graphics and posting
- Manages Zoom Webinar setup and management
Operations & Admin Support (≈⅓ of role)
- Provide day-to-day marketing and operations administrative support
- Keep all lists, data, and internal staff communications highly organized and accurate
- Maintain and proof coach, athlete, and school lists (alphabetized, spell-checked) for website & emails
- Upload, organize, and tag photos, videos, and marketing assets
- Proof and update website content, links, and event details
- Support registration workflows, including goalie assignments
- Assist with registration, session, and referral data analysis
- Create & Support event coach packets, and posters
- Assist with insurance & payroll admin
- Manages staff & coach hotel bookings
- Reviews contracts
- Assist with inventory research, ordering, and coach tax info collection
- Assist with customer communications as needed to maintain continuity during staff absences.
- Handle last-minute, one-off admin tasks as needed

HubSpot, Excel, Google Sheets, LeagueApps, Slack, Google Workspace, Zoom Webinar, Canva, instagram, Jotform
Required Qualifications
- Intermediate Excel / Google Sheets skills
- Experience using Hubspot, or a similar CRM
- Experience designing marketing graphics (Canva, PowerPoint, or similar)
- Prior marketing experience (admin, coordinator, or assistant roles)
- Extremely organized, detail-oriented, and deadline-driven
- Comfortable managing multiple lists, systems, and workflows at once
- Self-starter who takes initiative and doesn’t need micromanagement
- Reliable availability during 8am–12pm ET every weekday
- Thrives in a seasonal workflow with fluctuating workloads
- Loves structure, systems, and clean data
- Enjoys checking things off lists and keeping everything running smoothly
Strongly Preferred / Ideal Candidate
- Extensive experience using HubSpot
- Extensive experience using Canva
- Extensive advanced experience using Excel
- Background as a remote marketing admin or Executive Assistant
- Experience with: Google Sheets, LeagueApps, Slack, Google Workspace, Zoom Webinar & instagram
